The wedding business just like any other business is reliant on good planning. Good planning leads to successful events and successful event business.
For any new wedding professional, a business can be an overwhelming place. I have been getting these concerns from my students that are either aspiring wedding planners or event planners.
The point is: utilizing an event management app can help wedding planners stay organized, focused, and on top of their game.
But there are so many wedding planning and event management tools and resources online that it can be difficult to determine which ones are worth using and which ones are a waste of time.
Today, I plan to share the best wedding and event planning apps for wedding professionals and every event planning team. I use most of these event planning apps and recommend them to every professional event planner.
Before I dive into the specific apps, every wedding planner works differently, so what works for me may not work for you. I always recommend trying out different apps and finding those that fit your specific workflow and needs.
So, without further ado, let’s get into it and find your best event management software!
Here are some of the best event planning apps for event planners and wedding planners that I personally vouch for!
This event app is a lifesaver for me! Owned by Dropbox, this app allows you to easily sign and send contracts and other paperwork without printing or scanning anything. The best part is that it integrates with your email, so you can sign and send from within your inbox.
HelloSign has a free plan for event planners. It will cover three contracts per month. They also have a paid plan that offers more features and storage space. With a paid plan, you get as many documents as you want, automatic reminders when a document is due, and the ability to share documents with other team members.
I love their integration cloud storage system and how easy it is to use. If you’re looking for a hassle-free way to sign and send contracts, then HelloSign is definitely the app for you!
Oh, it also integrates seamlessly with Google Drive, Evernote, One Drive, and Dropbox, of course.
This leads to my second favorite project management app Evernote.
If you’re not using Evernote as your go-to note-taking app, then you’re missing out! This app is a powerhouse and can be used for so many different things. I use it mainly for note-taking, but you can also use it for project management, to-do lists, and even as a digital scrapbook.
If you are a wedding planner and dabble in other event planning types, then Evernote is the app!
I use it to keep all my texts, docs, images, and notes in one place. This way, I always have everything I need at my fingertips. And the best part is that it’s available on all devices, so you can access your notes no matter where you are.
Honestly, I never needed an upgrade to premium because the free version is so powerful. But, you can always upgrade your membership for those of you who need more features and storage.
Here is another app that I love and use religiously! HoneyBook is an online invoicing and project management tool specifically for creative professionals. And as a wedding planner, this app is a must-have!
With HoneyBook, you can easily create estimates, invoices, and wedding contracts. You can also track your project’s progress, collaborate with other vendors, and get paid online.
I love this system because it keeps all my wedding planning information organized and in one place. No more digging through my email for a specific invoice or contract. HoneyBook does it all for me!
Honeybook keeps me updated on every upcoming event, details of event planning, the event planning process, and how many guests will be attending the event.
The best thing? It has in-built esignature capabilities, so you can sign and send contracts directly from the app. If you use this app, you don’t need HelloSign!
Now, I know what you’re thinking, “Canva is for designers, not wedding planners!” And while that may be true, this app can be seriously helpful for creating marketing materials, graphics, and even wedding invitations.
You see, the wedding business is all about visuals – from the save-the-dates to the wedding invitations, you want your client’s guest list to be wowed by your beautiful designs.
And that’s where CanCanva is an online design platform that anyone can use. With a library of built-in templates and easy-to-use tools, you can create anything you want.
I have recommended Canva to my students and fellow wedding planners because it’s a great way to create high-quality designs without spending a fortune on design software.
I vouch for Canva because this has been my best investment since I entered the wedding business.
This app is a total life-saver for wedding planners (and event planners in general). Super Planner is an app that helps create events and manage tasks.
What I love about this app is that it’s totally customizable. You can create staffing, catering, and budgeting templates and then use those templates to create your event. This saves you so much time!
I especially recommend this app to those who have not handled any event before and are concerned about making their first event a success.
Overall, it’s not for you if you have been planning events for a while, but it can be a great resource for newbies.
6) Planning Pod
Now comes the email marketing part of this article! If you’re not using email marketing to reach out to your past, current, and future clients, you’re missing out big time!
For instance, clients who signed up on your website, past clients who may want to use your services again, and even potential clients referred to you by a friend.
That’s where the Planning Pod comes in. It’s an email marketing platform that helps you create, send, and track your email campaigns.
Best part? You can track every email related to a particular event so you know what’s working and what’s not.
I started using Planning Pod earlier this year, and I have to say that it has increased my open rates and click-through rates. If you’re not using email marketing, I suggest you start today!
Also, they have many rich customizable templates, which have been very handy to me.
This is my final app recommendation, and it’s one that I absolutely love! MagicPlan is an app that helps you create floor plans using your device’s camera.
What makes this app so amazing is the level of event details it provides. You can even measure the distance between objects in your floor plan!
This app has come in handy for me many times. For example, event planners often need to create floor plans for their events. With MagicPlan, I can easily create a floor plan and then share it with my team.
I also recommend this app to wedding planners looking to redesign their wedding spaces. With MagicPlan, you can experiment with different layouts until you find the perfect one.
Instagram stands out as one of the top social media platforms for wedding planners. Not only is it a great way to connect with potential clients, but it’s also a great way to keep up with current trends.
That’s where Iconosquare comes in. An Instagram analytics platform helps you track your progress, measure your success, and find your best-performing content. It also provides all the insights about TikTok, a rising social media platform.
I find it great about Iconosquare that you can use it to track your Instagram account and your competitor’s accounts. This is a great way to see what’s working for them and then adapt it to work for you.
I’ve been using Iconosquare for about a year now, and it has helped me improve my Instagram strategy significantly. If you’re not using Iconosquare, then you’re missing out!
I recommend this app for wedding planners who have been in business for a long now and are looking for ways to improve their Instagram game. This app allows you to preview what your posts will look like before you post them, which is excellent for saving time.
This app isn’t specifically for event planners or wedding planners, but I thought I would include it because it’s been a lifesaver. Day-Timer is an app that helps you stay organized by creating to-do lists and calendars.
What I love about this app is that it has a built-in timer so you can track how long you’ve been working on a task. This is great for avoiding burnout.
I also love the calendar feature because it allows me to see my week at a glance. This helps me stay on top of my deadlines.
If you’re looking for an app that will help you stay organized, I recommend Day-Timer. This app is perfect for event planners and wedding planners looking for ways to stay on top of their to-dos.
I’m speaking about this app in the latter part of this list because it is not an app but an online storage service that offers 15GB of free storage (which is upgraded to 100GB for $2/month).
I use Google Drive to store all of my personal and professional files. This way, I always have access to them no matter where I am.
Google Drive is an excellent option for event planners and wedding planners looking for an easy way to store their files. Plus, it’s free!
Whenever I have to send a file to someone, I just upload it to Google Drive and share the link. This is a great way to avoid sending large files via email.
Now. I’m writing this app to make sure you are already using Pinterest to start Event Planning to-dos. Pinterest is an excellent resource for event planners and wedding planners. It’s a great way to find inspiration and gather ideas to run a successful event.
However, using Pinterest can be time-consuming. That’s where Tailwind comes in. Tailwind is a Pinterest scheduler that allows you to schedule pins ahead of time. This is great for saving time.
What’s also great about Tailwind is that it offers analytics. This allows you to see how well your pins perform and find your best-performing pins.
If you’re looking for a way to optimize your Pinterest strategy, then I recommend using Tailwind. This app is great for wedding planners who are looking for ways to save time.
I use Tailwind to schedule Pinterest pins, and it’s a great way to save time. I also like the fact that it offers analytics to see how well my pins are performing. If you’re looking for a way to optimize your Pinterest strategy, then I recommend using Tailwind. You can always have the free trial to see if it’s right.
There you have it! I end my list of the best event planning software for Event organizers and Wedding Planners. These are just a few of my favorites.
